Plumbers CRM

The CRM Australian plumbers actually use

Emergency call-out logged. First-fix noted. Follow-up visit scheduled. Invoice out before you hit the next job. That is what a plumbing workflow looks like in Big Bear CRM. Flat rate, no per-seat bill, running within the hour.

Built for plumbers

Built for the way plumbers actually work

Plumbing jobs don't follow a clean script. Emergency call-outs, first-fix vs return visits, parts to source. Big Bear tracks all of it in one place.

Step 01

Emergency call-out

Log the job in 10 seconds from your phone. Customer name, address, issue description. It is in the system before you start the van.

Step 02

First-fix vs follow-up

Note what was done on the first visit and schedule the return. Both entries link to the same job. No separate job sheet, no paper to lose.

Step 03

Parts list and quote

Add parts as line items against the job. Generate a web quote for anything over threshold. Customer accepts on their phone. Job moves to confirmed.

Step 04

Invoice

Invoice goes out the day the job closes. Xero integration means your bookkeeper sees it without you doing double entry. GST calculated automatically.

Step 05

Warranty period

Add a follow-up reminder against the job for the warranty period. If the customer calls back, every note from the original job is right there.

What you get

Features that matter to plumbers

Every feature below ships in the Starter plan from day one. No upsells, no higher tier required.

  • Customers and jobs in one place Full job history per customer. Every call, visit, note, and invoice in one searchable record. Never dig through texts to find what you quoted last time.
  • Public web quotes with one-click accept Send a quote link by SMS. Customer accepts in one tap. No PDF round-trip. Bigger jobs get signed off faster.
  • Schedule with job linking Book visits and callbacks from inside the job card. Each entry links back to the deal so nothing falls off the radar.
  • ABN auto-lookup on new contacts Add a new commercial customer and pull their ABN and entity name in one click. Useful for body corporate and commercial property work.
  • Custom fields for certs and licence numbers Store your WaterMark and plumbing licence numbers as custom fields. They appear on quotes and invoices. Not a formal compliance register (not yet), but the data is there.
  • Xero integration for invoicing Jobs convert to Xero invoices without copy-paste. Payment status syncs back. GST handled correctly.
  • Embeddable lead form for your website Paste a snippet on your site. Enquiries land in your pipeline automatically. No more missed leads from a contact page nobody reads.
  • Stale-lead alerts A job sitting in "quoted" for more than a week gets flagged. You follow up before the customer rings someone else.
Simple pricing

Flat rate. No per-seat trap.

For a plumbing business with three licensed plumbers on the books, Starter works out to $16 per person per month. Not the $75 or more you'd pay with the big-name CRMs. Add your apprentice, your office admin. The price doesn't move.

You talk to me, not a chatbot

Brandon Connor, Big Bear Marketing

I build websites and CRMs for small Australian businesses. Big Bear CRM came from watching tradies pay per-seat fees for tools built for corporate sales teams. It's not a startup with a helpdesk in Manila. When something doesn't work, you get me. Based in Sydney, AU business, ABN on the invoice.

If Big Bear isn't right for your plumbing business, I'll say so upfront. No sales pressure.

Common questions

Questions plumbers ask

Does it handle an on-call roster?

Not as a built-in on-call scheduler. You can set up recurring schedule entries for each plumber's on-call rotation and track emergency call-outs as jobs in the pipeline. A dedicated on-call roster module is not shipped yet. If that is a hard requirement, ask and I will be upfront about whether Big Bear is the right fit right now.

Can I track parts inventory?

Not yet. Parts inventory is on the roadmap. Currently you can add line items to each job, including parts and materials, for quoting and invoicing. There is no stock-level tracking. For now, most plumbers manage stock through their trade account with their supplier.

Will it print an invoice with my WaterMark licence numbers?

You can store your WaterMark and plumbing licence numbers as custom fields on your organisation profile, and they will appear on any invoice or quote PDF you generate from the CRM. It is not automated compliance formatting, but the numbers are there and printable.

How does first-fix vs return-visit tracking work?

You can split a job across multiple site visits by adding follow-up schedule entries linked to the same deal. Each visit logs separately with notes, so you always know what was done first-fix and what is still outstanding. No separate job sheet needed.

Can I integrate with Xero for invoicing?

Yes. Big Bear CRM connects to Xero so jobs convert to Xero invoices without copy-paste. Payment status syncs back. Your bookkeeper gets what they need without you doing double entry.
