The CRM Australian cleaners actually use
Recurring clients in the schedule. Casual jobs logged on the go. Invoices out before Friday. Big Bear CRM keeps your cleaning business running without a spreadsheet, a whiteboard, or a stack of paper job sheets. Flat rate, no per-seat bill.
Built for the way cleaning businesses actually work
Cleaning businesses live and die on recurring clients, staff reliability, and invoices going out on time. Big Bear handles all three in one place.
Enquiry
New lead from your website, a referral, or a phone call. Log it in seconds. It sits in your pipeline until it converts or goes cold.
Site assessment
Schedule the quote visit from inside the lead card. Notes from the assessment attach to the client record. Floor area, access details, special requirements. All there for when the job starts.
Recurring schedule set up
Client signs on. Set up their weekly or fortnightly entry in the schedule. Every future visit is linked to their contact record. No separate calendar, no whiteboard.
Casual jobs
One-off jobs, bond cleans, end-of-lease jobs. Log them as separate deals with their own rate. They sit in the pipeline alongside your recurring clients without getting mixed up.
Weekly invoicing
Invoice recurring clients in bulk via Xero at the end of each week. Each invoice links back to the job in Big Bear. No manual entry. Payment status syncs back automatically.
Features that matter to cleaning businesses
Every feature below ships in the Starter plan from day one. No upsells, no higher tier required.
-
Customers and jobs in one place Every client, recurring schedule, job history, note, and invoice in a single searchable record. See everything at a glance before you send a team out.
-
Schedule with recurring entries Weekly and fortnightly client visits in one diary. Each entry links to the client card. No separate calendar app, no double-handling.
-
Separate rates for contract and casual jobs Store a contract rate and a casual rate on each client record. Quotes and invoices pull the right rate. No confusion about what you charged last time.
-
Xero integration for invoicing Jobs convert to Xero invoices in one action. Payment status syncs back. Weekly invoicing across a client list that used to take an hour now takes ten minutes.
-
Public web quotes with one-click accept Send a quote for bond cleans and new clients via link. They accept on their phone. You don't print, sign, or scan anything.
-
Embeddable lead form for your website Paste a snippet on your site. Enquiries land in your pipeline immediately. Clients come to you, not to the Facebook group.
-
Custom fields for WHS references and job notes Store SWMS links, site access codes, alarm codes, and any job-specific notes as custom fields against each client. Not a WHS document generator (not yet), but the information is there for whoever does the job.
-
Stale-lead alerts A quote sent to a new client and not followed up for more than a week gets flagged. You chase before the client books someone else.
Flat rate. No per-seat trap.
For a cleaning business with five team members, Starter is $49 a month for the whole team. That is under $10 per person. Not the per-seat bill that grows every time you take on a new cleaner. Hire freely. The price doesn't move until you hit six users.

Brandon Connor, Big Bear Marketing
I build websites and CRMs for small Australian businesses. Big Bear CRM is built around the workflow small service businesses actually use: recurring clients, job notes, quotes, and invoicing. Not a bloated enterprise tool adapted for someone half your size.
Based in Sydney. AU business. ABN on every invoice. If Big Bear doesn't suit your cleaning business, I'll say so before you sign up. No chatbots, no offshore helpdesk.
Book a 20-minute callQuestions cleaning businesses ask
Does it handle recurring weekly schedules?
Yes. You can set up recurring schedule entries for each regular client: weekly, fortnightly, or monthly. Each recurrence links back to the client's contact record so you always know who is on the roster and when. Contract rates and casual rates both store on the same client record.
Can I track casual vs contract staff?
You can store each staff member as a contact with a custom field for their employment type. Job assignments are manual in the current version. A fuller staff scheduling module is on the roadmap but not shipped yet. If that is a core requirement right now, ask me directly and I will be honest about the fit.
Does it generate WHS documents per job?
Not yet. Big Bear CRM does not generate WHS documents automatically. You can attach WHS document links from Google Drive or Dropbox to each job record and store a checklist reference as a custom field. A proper WHS document generator is not shipped. I'd rather tell you that upfront than have you find out after signup.
Can I send invoices for recurring jobs automatically?
Not automatically from inside Big Bear. The Xero integration lets you convert each job to a Xero invoice in one action, and Xero handles recurring invoice schedules natively if you set them up there. Big Bear handles the client and job tracking; Xero handles the repeating invoice schedule. Most cleaning businesses find the two tools work well together for this.
I run a team of five cleaners. Does the pricing still make sense?
Yes. Starter is $49/month flat for the first 5 users. Five cleaners is exactly the limit, so your whole field team is in for $49. Add an office admin and you are at six users, which bumps you to Growth at $99/month for unlimited users. Either way, no per-seat bill and no surprise at the end of the month.
