Built for builders

Built for the way builders actually work

A builder's sales cycle is long. Months from first enquiry to breaking ground. Big Bear CRM keeps every job visible across every stage, with no leads dropped between the cracks.

Step 01

Enquiry

Form submission, phone call, or referral. Log it in seconds. It sits in your pipeline until it is won, lost, or followed up.

Step 02

Site visit

Book the visit from inside the lead card. It lands in your diary. Notes from the site attach directly to the job. Nothing gets lost between the ute and the office.

Step 03

Preliminary quote

Send a ballpark via web link. Customer views and accepts it online. Status updates automatically. No chasing, no PDFs.

Step 04

Full quote and contract

Detailed scope attached to the job card. Contract notes, inclusions, exclusions all in one place. When the client signs, move the card to confirmed.

Step 05

Progress claims

Each stage claim is a scheduled invoice entry. Xero handles the invoicing. You see exactly where the job is financially at any point in the build.

Step 06

Final invoice

Final claim and defects period tracked in the same deal. Job closes when payment clears. Full history stays on record.

What you get

Features that matter to builders

Every feature below ships in the Starter plan from day one. No upsells, no higher tier required.

  • Customers and jobs in one place Every client, job, quote, contract reference, and note in a single searchable record. Know the full history before you pick up the phone.
  • 9-stage pipeline for long build cycles Enquiry, site visited, preliminary quoted, full quote, contract signed, in progress, completed. Customise the stages to match your workflow. Nothing falls through between enquiry and slab.
  • Public web quotes with one-click accept Preliminary quotes sent via link. Client accepts on their phone. Status updates automatically. Cuts the back-and-forth on smaller jobs.
  • Xero integration for progress claims Each claim stage converts to a Xero invoice without copy-paste. Payment status syncs back. GST handled correctly across every claim.
  • Custom fields for licence and membership records Store your NSW builders licence number, HIA membership, and expiry dates as custom fields. Set a reminder before they lapse. Not a formal compliance register, but the data is there.
  • ABN auto-lookup on new contacts Add a developer or body corporate as a contact and pull their ABN and entity details in one click. Useful for commercial and investment property work.
  • Embeddable lead form for your website Paste a snippet on your site. Enquiries land in your pipeline immediately. No more quote requests lost in Gmail.
  • Stale-lead alerts A quote sitting with a client for more than a week gets flagged. You follow up before they sign with someone else.
Simple pricing

Flat rate. No per-seat trap.

For a building business with three staff and a bookkeeper, Starter is $49 a month for the whole team. That is $12 per person. Not the $100 or more you'd pay with the big-name CRMs. Hire your site supervisor. The price doesn't move.

14-day free trial. No credit card up front. Cancel any time.

Brandon Connor, Big Bear Marketing

I build websites and CRMs for small Australian businesses. One of my current clients is a carpentry and construction business in Northern Beaches, Sydney. I have watched builders firsthand deal with leads slipping through the cracks, quotes going quiet, and admin eating two hours of every day. Big Bear CRM is the fix I built for that.

Not a startup. Not a helpdesk in Manila. Based in Sydney, AU business, ABN on every invoice. If Big Bear isn't right for your building business, I will tell you that before you sign up.

Common questions

Questions builders ask

Does it handle multi-stage progress claims?

Yes, in practice. Big Bear CRM does not have a dedicated progress-claims module, but you can track each stage as a deal milestone and generate an invoice at each stage via Xero integration. Most builders set up pipeline stages for deposit, base, frame, lock-up, fixing, and practical completion. A purpose-built progress-claims workflow is on the roadmap.

Can I store building plans and council documents against a job?

Not as a built-in file store attached to a deal (that feature is in development). Currently you can link to a shared Google Drive or Dropbox folder in the job notes, and store key document references as custom fields. It is a workaround, not a native solution. I would rather be upfront about that than let you find out after signup.

Does it integrate with Xero?

Yes. Jobs convert to Xero invoices without copy-paste. Payment status syncs back. For builders doing volume invoicing across multiple stages, this saves a significant amount of admin time. GST is handled correctly.

Can I track my NSW builders licence and HIA membership expiry?

You can store your licence number and expiry dates as custom fields on your organisation profile and set a follow-up reminder before they lapse. It is not a formal compliance register, but the data lives in one place and the reminder fires before you notice the date.

I have three staff and a bookkeeper. How does pricing work?

Starter is $49/month flat for the first 5 users. Three staff plus a bookkeeper is four users, well inside Starter. Add another person and the price doesn't change until you hit six users. At six or more, Growth at $99/month covers unlimited users. No per-seat bill, no surprise invoices at the end of the month.
